TRADE FAIR REGULATIONS

1. General Provisions.

  1. The regulations apply to Exhibitors of the International Security and Defense Fair LOGIS-MIL organized by the Association of Suppliers for Uniformed Services based in Bydgoszcz.
  2. The terms used in the Regulations mean:
    • Organizer – Association of Suppliers for Uniformed Services,
    • Fair – International Security and Defense Fair LOGIS-MIL,
    • Participation Form – a form to be filled out by each Exhibitor participating in the fair.

2. Conditions of Participation.

  1. The Exhibitor undertakes to familiarize themselves with and comply with the requirements of these Regulations.
  2. The Exhibitor acquires the right to participate in the Fair after submitting the Participation Form and making all payments for participation in the Fair in the amount and within the deadlines specified in the invoices issued by the Organizer (See Appendix No. 1).
  3. The acceptance of the participation application and the location of the stand are determined by the order in which the Participation Forms are submitted. In case of non-acceptance of the Participation Form, the Organizer will refund the Exhibitor the amount already paid, if any.
  4. The costs of the exhibition space rental fee include: equipment according to the ordered requirements, preparation, maintenance, and dismantling of the stand, electricity consumption, cleaning of stands and communication paths, waste disposal, security of the facility at night, signage of stands and friezes (sign on the frieze up to 20 characters).
  5. The rented stand is intended for the Exhibitor and their registered Co-exhibitors. (See Appendix No. 10)
  6. Subletting the stand by the Exhibitor may only occur with the Organizer's consent.

3. Payment Terms.

  1. The Exhibitor makes the payment to the Organizer's bank account specified in the Participation Form and within the indicated deadline.
  2. In the case of the Exhibitor withdrawing from participation in the Fair less than 21 days before its start, the payment made is non-refundable. Withdrawal from participation requires a written/email form. The date of cancellation of participation in the Fair is considered the date of receipt of the appropriate letter by the Organizer.

4. Stands and Exhibits.

  1. The location of the stand is determined by the design of the exhibition space and the organizational and technical conditions of the exhibition grounds.
  2. The Organizer assigns the Exhibitor the space and determines the stand location according to the reservation made.
  3. The Exhibitor is required to label exhibits in the open area of the Fair. The Organizer reserves the right to refuse to exhibit items that are dangerous and pose a threat to health or life, as well as those containing illegal software or associated with illegal sources in any way.
  4. A list of exhibits requires prior submission. (See Appendix No. 9)
  5. Repairs of equipment or changes to the stand’s design may be made outside of the Fair opening hours with the Organizer's consent.

5. Stand Construction and Dismantling.

  1. In the case of choosing a Standard stand, the Organizer provides standard stand construction, i.e., OCTA walls 2.5m/1m along with the standard equipment specified by the Organizer in the Exhibition Space Order. (See Appendices No. 1, 2)
  2. The Exhibitor is responsible for the artistic decoration of the stand, which must be done in a non-invasive way to the stand walls.
  3. The construction and dismantling of the stand using Exhibitor’s elements is at the Exhibitor's cost and risk.
  4. The Exhibitor is fully responsible for any damage caused by the operation of their own construction and equipment on their stand during the preparation, duration, and dismantling of the stand.
  5. The Organizer reserves the right to use the external walls of the stand not utilized by the Exhibitor.
  6. For Exhibitors constructing their own stands, the exhibition area will be open two days before the Fair opening from 8:00 AM.
  7. The stand must be ready at least 2 hours before the official opening of the Fair.
  8. Dismantling the exhibit and removing items before the official closing time of the Fair is prohibited.
  9. The Organizer accepts the stand from the Exhibitor through a handover protocol.
  10. The dismantling of the Exhibitor’s exhibit must be completed by 3:00 PM on the day after the Fair concludes. The Exhibitor loses the right to any claims for exhibits and materials not collected by the designated deadline. The Exhibitor hands over the stand with equipment based on the handover protocol. The Exhibitor is obliged to restore the occupied exhibition space to its original condition.

6. Order Regulations.

  1. The Exhibitor is required to comply with the instructions issued by the Organizer.
  2. Opening and closing hours of the Fair for Exhibitors:
    • before the Fair according to separate arrangements,
    • during the Fair from 8:00 AM to 8:00 PM,
    • after the Fair according to separate arrangements.
  3. Entry to the exhibition grounds during the Fair, preparation, and dismantling is authorized for the Exhibitor through an identification badge issued based on the Participation Form.
  4. During the Fair opening hours, stands must be accessible to visitors. Periodic closure of the stand requires prior consent from the Organizer.
  5. Exhibits cannot be placed in communication and evacuation corridors adjacent to the stand, and demonstrations must not obstruct or hinder safe movement for exhibitors and the public.

7. Insurance and Security.

  1. The Exhibitor is required to insure against civil liability arising from participation in the Fair, as well as to insure their exhibits.
  2. The Organizer is not responsible for accidents and damages to exhibits on the exhibition grounds before, after, and during the Fair.
  3. The Organizer is not liable for damage caused by theft, fire, wind, lightning, explosion, flooding, power or water interruptions, or other unforeseen events. This also applies after the Fair has concluded if exhibits, equipment, and other goods remain on the exhibition grounds.
  4. The Exhibitor is required to immediately report any damage, situations threatening their exhibition, or threats to the health and life of third parties to the Organizer and Security.
  5. The Organizer provides security for the exhibition grounds from the closing of the Fair until its opening on the following day. Any concerns about the condition of the stand must be reported before the Fair opens.
  6. The Exhibitor must make all rooms available to the Organizer for fire safety checks.
  7. The Organizer reserves the right to cancel, shorten, reschedule, or partially close the Fair in cases beyond their control (force majeure). In such cases, the Exhibitor is not entitled to a refund or compensation.
  8. In the event of the Fair being canceled due to the Organizer's fault, the Exhibitor is entitled to a refund of the paid amount for the exhibition space.
  9. For any missing equipment (loss or damage), the Exhibitor will be charged the current price for the missing or damaged equipment, plus handling costs.

8. Fire Safety.

  1. Electrical work may only be performed by an electrician authorized by the Organizer, and the electrical installation must undergo technical inspection.
  2. Power supply: 230/380V. A system for quick disconnection is required to prevent electric shock, in accordance with the PN-IEC-60364 standard.
  3. The following is prohibited on the exhibition grounds:
    • smoking tobacco except in designated areas,
    • using open flames,
    • using gas heaters and stoves,
    • using makeshift electrical installations,
    • leaving any electrical devices plugged into the network unattended if not designed for continuous use,
    • bringing hazardous chemicals onto the fairgrounds,
    • obstructing access to firefighting equipment, exits, and emergency evacuation routes,
    • using firefighting equipment for purposes other than fire safety.

9. Advertising and Fair Catalog.

  1. The Exhibitor has the right to advertise their goods exclusively at their own stand, provided that it does not disrupt the normal operations of other participants.
  2. Advertising outside the Exhibitor's stand requires the Organizer's approval and may only be conducted through them. (See annexes no. 5, 6)
  3. Each Exhibitor is required to prepare basic information about their company and send it along with their logo to the Organizer for inclusion in the Fair Catalog in digital form. (See annex no. 11)

10. Complaints and Claims.

  1. Complaints from Exhibitors must be submitted in writing to the Organizer within 3 days from the end of the Fair. After this period, complaints will not be considered.
  2. Oral agreements between the Exhibitor and the Organizer, as well as any decisions and statements, require a clause under penalty of nullity – written/email confirmation.

11. Fees for Participation in the Fair and Additional Services.

  1. The registration fee for Exhibitors includes: free catalog entry, 2 'Exhibitor' ID badges, one parking card, 30 guest invitations, and two invitations to the fair banquet.
  2. The registration fee for Co-exhibitors includes: free catalog entry, 1 'Exhibitor' ID badge, one parking card, 10 guest invitations, and one invitation to the fair banquet.
  3. All additional services and orders will be carried out based on submissions via registration forms. (See annexes no. 2, 4, 5, 7)

12. Rules of Entry and Access to the Fairgrounds.

  1. During the Fair, multiple entries to the exhibition area are authorized by 'Exhibitor' ID badges. These are valid from 2 hours before the Fair begins until 2 hours after the event ends.
  2. 'Exhibitor' ID badges may not be transferred to third parties.
  3. Vehicle entry to the exhibition area takes place after receiving a parking card at the Fair's registration point. The parking card must be filled out and placed in a visible spot on the vehicle's front windshield.
  4. The parking card allows the vehicle to remain in the 'LOGIS – MIL 2024' parking areas from 2 hours before the Fair starts, as well as up to 2 hours after the Fair ends.
  5. In addition to 'Exhibitor' ID badges, the following also grant access to the Fairgrounds during the event:
    • 'VIP' badge,
    • 'Press' badge,
    • 'Organizer' badge;
    • invitations.
  6. Printed invitations by Fair participants or third parties do not grant access to the Fairgrounds.
  7. The exhibition hall is closed and sealed by security after it is vacated by the Exhibitors and the cleaning crew, in the presence of the Hall Manager or Security Manager.
  8. The exhibition hall and external areas are monitored and secured 24/7.

13. Final Provisions.

  1. Exhibitors are required to comply with the provisions of these Fair Regulations.
  2. Exhibitors who do not comply with these Regulations are personally responsible. Cases not covered in the Regulations will be resolved based on the provisions of the Civil Code.
  3. Disputes will be resolved by the court competent for the location of the Organizer's registered office.
  4. Acceptance of these regulations occurs at the moment the Exhibitor submits the 'Participation Form' with the required stamps and signatures.
  5. The provisions of these regulations apply to Exhibitors from the moment the 'Participation Form' along with annexes is sent to the Organizer.
